How does automatic invoicing from tracked hours work?

You start the timer when work begins, and HourTrack stores each session against a client and project with a rate snapshot. Unbilled hours roll up automatically. Select the entries you want to bill, and the app groups them into line items, applies tax, and writes a draft invoice while marking those entries as invoiced.

How does the follow-up queue stop payments slipping?

Every client that needs contact today appears in a prioritised queue sorted overdue first, then due today, then upcoming. How do I know which invoices are late?

HourTrack tracks every invoice as draft, sent, paid or overdue, and flips a sent invoice to overdue the moment its due date passes. The table shows age as days late or days remaining, and each invoice keeps a reminder history so you can see exactly what was sent and when.

What does the revenue chart actually show?

The chart stacks paid and outstanding amounts per month as bars, and draws a dashed projection line for the current and next two months based on your trailing average. A toggle switches the bars between value of billable work completed and cash actually collected, across three, six and twelve month ranges.

How it works

How to invoice a client in 60 seconds

Track, invoice, get paid. Those are the only three motions in HourTrack, and the whole path from a running timer to a sent invoice takes five steps and about a minute.

    Start the timer or log a block

    Pick a client and project, describe the work, and start the timer. Manual entries support 6, 15 and 30 minute rounding for work you did away from the desk.

  2. 02

    Review your unbilled hours

    Unbilled time collects in the timer panel with its dollar value. Select the entries you want to bill and choose create invoice from selected.

  3. 03

    Adjust line items and rates

    HourTrack groups entries into line items and shows subtotal, tax and total. Edit any rate before confirming.

    Create the draft invoice

    Confirming writes a numbered draft invoice, marks the source entries as invoiced, and updates every KPI on the screen.

    Send, follow up, get paid

Do I need an accountant to use HourTrack?

No. It tracks hours, raises invoices, applies a tax rate you set, and records when payments arrive. That is enough to run your own billing. It is not bookkeeping software, so you would still pass exported figures to an accountant at year end if you use one.

Is my data stored on a server?

HourTrack is local-first. Your clients, entries and invoices are stored in your own browser, and nothing is uploaded anywhere. You can export the whole workspace as a JSON file at any time and import it back on another machine.

Does the timer keep running if I close the tab?

Yes. The timer stores its start time rather than counting seconds, so closing the tab or reloading the page does not lose time. When you return, it shows the correct elapsed duration and you can stop it to log the session.

How are invoices numbered?

You choose a prefix and a starting number in settings, and HourTrack increments from there, for example INV-0044. Duplicating an invoice also consumes the next number, so your sequence stays continuous with no gaps or repeats.

Can I bill multiple clients on one invoice?

No, and that is deliberate. Invoices are always scoped to one client, which keeps tax handling and payment chasing unambiguous. If you select tracked hours belonging to different clients, the app asks you to narrow the selection before it creates a draft.

What happens when an invoice passes its due date?

Its status flips from sent to overdue automatically, the amount moves into your overdue KPI, and the client appears in the follow-up queue with a pre-written reminder. You can snooze the follow-up or mark it done once you have made contact.

Can I print or save an invoice as a PDF?

Yes. Open any invoice and choose print. A dedicated print layout renders a clean white A4 document with your line items, subtotal, tax and total, and you can save it as a PDF from the print dialog in any browser.

Is there a mobile app?

There is no separate app to install. HourTrack runs in the browser and adapts below desktop width to a stacked layout with a sticky summary bar, so you can log time, check a balance or read the follow-up queue from a phone.
